Coordinator to the Sales Emerging Markets

Job's mission

The key person would need to provide administrative and logistic support for events including congresses, meetings, and workshops for the Emerging Markets region.

The person will need to provide administrative support to the assigned Sales Directors and ensure that we are compliant with all legal requirements.

Key Activities & Accountabilities

  • Provide administrative and logistic support for events including congresses, meetings, workshops etc.

Briefing (alignment / planning) with regional sales directors to assess the needs for local events (meetings, virtual meetings / workshops, congresses etc)

Liaise with Marketing to communicate the needs for global congresses as well as Marketing support for regional events

Liaise with company departments (Marketing / Training, Quality and others as needed) to coordinate training forms, tracking Quality metrics and other related tasks

Coordination with third party (agencies, hospitals, associations)

Pre-meeting coordination with Marketing when required; negotiation with providers

Organize travels, accommodation, airport transfer, assist with visa requests for customers, declare sponsoring to authority when required (if possible with the current situation)

Execution of logistics (meeting participation including booth set up, virtual meetings, promo material requirements / shipments, and supplier negotiation) with the support from Regional Marketing where needed

Support during International events (company meetings, workshops, congresses etc) as required 

  • Provide support to the assigned Sales Director and Sales Team

Organize and coordinate all internal sales meetings

Support the sales team with business documents (contracts, forms etc) and general correspondence (holidays follow up, agreements, reports, contracts, etc.)

Promo material preparation, allocation and shipment when required

Partnering with other departments / other sales administrators (when needed) for events coordination

Work closely with Legal department, liaise and provide information as required (consultancy contracts, sponsorship request)

Ensure budget and invoice (accruals, payments) follow up

Experience, Knowledge, Skills

  • Commercial Background (CFC) or relevant University degree

  • Minimum 2-3 years relevant working experience in an international and fast paced work environment, medical devise will be an asset

  • Excellent organizational and administrative skills, ability to work on several tasks simultaneously

  • Very strong interpersonal and communication skills (both oral and written), team player with strong results orientation – with cross cultural understanding and ability to adapt to diverse people network

  • Self-starter with tenacity and common sense, with ability to handle and manage complexityComputer literate (outlook, internet, word, excel mandatory), keen on new systems

  • Fluent in English and German, and French, Spanish or Portuguese is a great asset

Profil minimum requis :
  • Minimum 2-3 years relevant working experience in an international and fast paced work environment, Medical devise even better
  • English, German, French
