Our client is a Family office with various offices in Europe, US and Asia. With the launch of their new offices located in Zug, we are looking for a dedicated, bright and flexible Executive assitant with Office Management experience.

Executive Administrative Assistant (m/f/d)

Your mission:

In this position, you act as office manager, daily logistic and administrative support as well as personal assistant to the CEO, to whom you report directly. You are actively involved in the set up and running of the new Zug office. Next to that, you manage a wide range of tasks including the reception desk, in or out going calls, handling postal and e-mail correspondence. You also coordinate meetings, travels and schedule calls. Representing the company, are fully present to welcome and assist visitors. This position is ideal for candidates who would like to work on a part-time basis of between 60%-80%

Yourself:

You hold a degree in the field of Administration or Secretariat and have a minimum 5 years experience, at least half of it as an Executive Assistant. You have an excellent capacity to organize and prioritize other people’s work as well as your own. Proficient in MS-Office applications (Outlook, Word, Excel), you have experience with digital filing systems and are able to introduce and run one from scratch. You are not afraid of working with numbers and ideally dispose of some practical knowledge in finance and accounting matters. Your good communication skills enable you to address correspondents appropriately at all levels of a corporate hierarchy. You are an open minded spirit and able to manage situations in a fast moving environment. You are reliable and have made yourself a name by tackling multiple tasks with flexibility and initiative. You have an excellent written and oral command of English (mother tongue or proficiency) and you speak and write German at an advanced level.

Considered a genuine team-player and a well-rounded personality with a cheerful character and focused approach, you are self-confident without being pushy and straight-forward without ever stepping beyond your boundaries. Excellent social skills, first-class manners and empathy enable you to find the appropriate balance when working with executives inside and outside of the company. In this position, trust and absolute discretion are a given. You are not afraid of working with numbers and ideally dispose of some knowledge sympathyse /have some accounting/ financial experience finance and accounting matters.
