We are seeking to hire a multi-talented person to support our founder and CEO Dr. Marcolli in various activities. This is a unique opportunity for a highly motivated, organized and independent individual to take care of various activities in our back-office and make a significant contribution to daily operations. It is foreseen to start in the role with a workload of 50% and then later potentially expand to 80%. This role will be primarily located in our office in center of Aarau, located 40km from Zurich. Multi-Talent (50-80%): Back-Office Support; Program / Project Manager; Client Relationship Manager (English & German)

Key Responsibilities:

Administrative and office management

  • Perform general clerical duties such as calendar coordination, address administration, photocopying and coordinating mailings
  • Organize conference calls and meetings, business travel and special events
  • Be the main point of contact for our suppliers and for all technical/IT issues in the team, incl. video equipment for online events 

Program/project management 

  • Perform the complete organization and preparation of our programs and workshops including correspondence (predominantly in English) 
  • Provide full program support from the back-office
  • Assist with special projects as needed e.g. prepare documents, presentations, reports, perform analysis and miscellaneous correspondence

Client relationship management

  • Communicate with our clients to ensure top quality performance
  • Establish and cultivate excellent relationships with our clients
  • At selected events: provide on-site support
  • Take photos and videos from the performances and prepare for further use 

Materials support

  • Support in developing high-class materials, content and presentations
  • Support with editing texts and presentations
  • Translate texts from English to German and vice-versa
  • Post texts on our social media channels

Required Skills:

  • At least 1-2 years of working experience in comparable functions in a top-class business environment with proven organizational and conceptual skills
  • Excellent oral and written communication skills in English and German; knowledge of any other EU languages is a plus
  • Independent working-style. Being used - and happy - to work independently, without a team 
  • Strong organizational skills, with a proven ability to prioritize and work under pressure in a fast-paced environment
  • Extraordinary flexibility to switch between the different tasks and at times to work at the location of the events
  • Excellent representation skills, building up and maintaining strong client relationships and “savoir faire” when working at business events
  • Ability to work independently (self-motivated) and multi-task; strong detail-orientation
  • Proactive, strongly service-driven and able to deal with confidential information
  • Computer literate, ability to provide good IT/email support 
  • Highly proficient in MS Word/Excel/PowerPoint/Outlook
  • Strong identification with our services
