Main Responsibilities:
  • Monitoring telephone calls & message
  • Maintaining attorneys' calendars and contacts in Outlook
  • Scheduling & organizing meetings/conferences
  • Organizing travel arrangements
  • Preparing electronic expense reimbursement requests and submitting invoices for payment
  • Handling record retention of legal and confidential documents
  • Handling product liability documents and liaising with the complaint handling unit
  • Reading, prioritizing and routing incoming communications
  • Handling outgoing mail and preparing Fedex/UPS labels for mailings
  • Preparing and revising legal documents, presentations, forms and correspondence
  • Maintaining and ordering office supplies
  • Managing and coordinating notarization of documents with Public Notary, State Chancellery and foreign Embassies
  • Maintaining Corporate housekeeping for Swiss J&J affiliates (Synthes)
  • Managing Power of Attorneys of Swiss J&J affiliates (Synthes)
  • Providing support to lawyers with technology and software programs such as PowerPoint, One Note, Onedrive
  • Providing administrative support to Global AO Relationship Leader
  • Supporting the legal team in Zuchwil with basic contracting work and providing administrative support with filing agreements within the International Contract Database
  • Providing general support of lawyers in specific legal projects


 

Who we are looking for:

  • Proven experience as an Administrative Assistant
  • Excellent office management and interpersonal skills are essential as are good organizational abilities
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills in English and German
  • Personality of a good team player

This role based in Solothurn, Switzerland will initially be limited to approx. 10 months, with an option for extension.
