This role is to assist the day to day running of the Summer School office, supporting the Director of Summer School and Summer School Officer with all elements of administration prior to the start of the programme, and then during the Summer School.
Dates of Employment: Monday 20 March - Friday 28 July, Full time 40 hours per week (including weekend work during Summer School)
Ensure that all databases and systems are up-to-date, in particular the running of Enterprise iSAMS and its reporting module and Open Apply for applications to the Summer School.
Answer the telephone and reply to all enquiries.
Check emails (including the general department email account) and mail daily, ensuring that they are dealt with appropriately;
Assist the Director of Summer School and Summer School Officer with programme bookings for all courses, for example bus bookings, activities bookings.
Organise the School’s free access cards
Prepare student and staff ID cards for specific courses
Assist with on-campus events such as family visits, new student arrival and departure.
Prepare draft emails and send mailings as required by the Director of Summer School.
Maintain a good relationship with customers (and their parents) at all times.
Ensure the effectiveness of the Department’s electronic filing and hard copy filing systems;
Order and prepare resources, materials and equipment for courses and events;
Produce statistics and reports as required.
Correspond in French and English;
Assist in the creation and distribution of travel arrangement lists for arrivals and departures of residential courses;
Assist with all aspects of student travel - documentation for UM transfers, lost luggage, student visa letters
Liaise as requested with the estates and housekeeping team, catering team, campus cafe, health centre team and other key staff with regards to the courses taking place during the School holidays
Liaise with the Computer Services Department where support is needed for IT and database management
Assist with the administration of Summer School finance matters - including deposits, payments, reminders, cancellations, invoices and reimbursements;
Follow up payment receipts and keep the Finance department up-to-date;
Complete the necessary documentation for Taxe de Sejour.
Assist with administration of Summer School staff
Deal with students’ health and accident insurance for courses;
Provide administrative support to Summer School staff as required
Uphold the ethos and values of the school, having respect for all colleagues and ensuring that all school related matters are dealt with in the strictest of confidence.
Be an active participant in Summer School school life and in agreement with the Director of Summer School, assist in the operation of Summer School events.
Understand and implement all school policies and procedures, particularly those relating to safeguarding children and young people
Understand the School’s Guiding Principles and uphold the ethos of the School at all times
