With ambitious goals of establishing a global presence in the European and global market, we are on the forefront of innovation in the food industry. We are looking for a highly organized and efficient Administrative Assistant to join our team and support our expansion.

Job Description: As an Administrative Assistant, you will play a key role in supporting our daily office operations and ensuring smooth administrative processes. You will be responsible for providing administrative support to various departments and assisting in the efficient functioning of the office, including notably the following responsibilities : 

  • Greet and assist visitors in a professional and friendly manner
  • Answer and direct phone calls to the appropriate parties
  • Manage incoming and outgoing correspondence, including emails, letters, and packages
  • Schedule appointments and maintain calendars for team members
  • Prepare and organize documents, reports, and presentations
  • Coordinate meetings and conferences, including booking venues and arranging catering
  • Maintain office supplies inventory and place orders as needed
  • Assist with travel arrangements and accommodations for staff
  • Handle expense reports and reimbursements
  • Assist with basic bookkeeping tasks, such as invoicing and processing payments
  • Perform general clerical duties, such as filing, photocopying, and data entry
  • Support HR department with onboarding paperwork and other administrative tasks
  • Handle confidential information with discretion and professionalism

Requirements:

  • Candidates must meet one of the following criteria:
  • Possess a high school diploma and demonstrate relevant experience in administrative work.
  • Be currently enrolled in or have completed a field of study related to Pazzi's activities, such as Business Administration or a related field. 
  • Hold a Bachelor's degree in Business Administration, Law, Communication, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • High school diploma; additional qualifications in Office Administration are a plus.
  • English Diploma of at least B2 level; C1 is preferred.

Your Profile: 

  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Capable to balance flexibility with structure and ability to adapt to changing circumstances. The candidate should be open-minded, welcoming to new ideas and perspectives and thriving in a dynamic and collaborative environment,
  • Additional languages, especially French, German and Spanish, are a plus (B1/B2). 
  • Swiss national/work permit B or C holder.
