Executive Assistant to the CEO


Your assignment


* Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging detailed travel plans, itineraries and agendas and compiling documents for meetings.
* Communicates with the general staff on the CEO's behalf and coordinates logistics for meetings both internally and externally.
* Drafts reports; prepares and coordinates oral and written communication.
* Supports CEO in his/her external commitments, including service on external boards, committees and other groups.
* Participates as an adjunct member of the Management Team including assisting in scheduling, attending meetings.
* Coordinates and assists in drawing the agenda of management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
* Provide assistance as needed to front desk operations to include but is not limited to, answering phones, accepting package and other deliveries, lunchtime relief, and greeting and signing in visitors/guests.
* Acts as first contact for office suppliers, and landlord
* Performs other duties as assigned.
* Occasional travel might be involved.


Your profile


* Bachelor's degree or equivalent experience.
* Proficient English
* Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
* Three to five years of experience in providing support for upper-level management in a related organization.
* Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
* Ability to work independently and with professional discretion.
* Excellent command/highly proficient in spoken and written English and Italian, excellent writing, editing, grammatical skills. Being an English native speaker is an asset.
* Ability to work with a broad range of people including board members, foundation staff, colleagues of the president/CEO and staff, and others.
* Excellent management, time-management, and problem-solving skills.
* Proficiency in Windows, including MS Word, Excel, PowerPoint, and remote conference services.
* Looking for a long term and stable position.
