Receptionist / Office Support

Scope of the role

In this role you will be the main person to manage the office reception and be directly responsible for various administrative office support as well as ad hoc office tasks. In parallel, you will share responsibilities with the Management Assistant to ensure smooth running of the business. 

Your Responsibilities

  • Manage the front office reception and the telephone
  • Handling daily mail and courier and reception email
  • Managing office maintenance, cleaning company and other suppliers
  • Kitchen upkeep including refilling of fridges with Capri Sun stock
  • Organising catering and lunch orders for board meetings, grocery shopping at local store (200 metres from office). Organising team events
  • Manage meeting room reservations, prepare conference rooms for the meetings ie. Coffee, drinks etc.
  • Organising IT on and off-boarding for new employees, registering them on benefits portals, preparing IT in their rooms before the start and preparing name labels for rooms
  • Order office supplies including furniture and keep stock and order in warehouse
  • Handle employee badges, mobile telephones and company parking
  • Deputy to the executive assistant during their absence (if necessary)

Your Profile

  • Relevant experience in a similar role
  • Minimum 3 years of experience working in a support function like office manager or receptionist
  • Excellent organisation and time management skills
  • Structured way of working and ability to prioritise
  • Collaborative, communicative, team player and a mindset to improve processes
  • Ability to handle sensitive information with discretion
  • Fluency in German (native speaker level) and English is a must. Any other language is an added benefit
  • Willing to work on site 5 days a week
