Administrative Assistant at the Institute of Computing Platforms
The Institute of Computing Platforms of the Department of Computer Science is a research group focused on computer systems and software systems in general. Currently, the group has three faculties, two administrators, one lecturer, six senior researchers, and thirty doctoral students.
Together with a colleague, you will be responsible for the secretariat of the Institute in the lively international environment of university research.
You are the direct contact person for all financial matters within the three faculties of the institute. The tasks include the areas of finance (monitoring budgets and project funds, projections, creating and processing invoices, expense reports), personnel (hiring academic staff in collaboration with the HR department), correspondence with partners and collaborators, organizing workshops and events, looking after guests, attending team meetings, and supporting people joining and graduating with the onboarding and offboarding processes. Inventory and ordering as well as the administration and content management of the institute's website are also part of your portfolio of tasks.
There is flexibility regarding home office from time to time but there is a strong preference for working on-site due to the nature of the duties and responsibilities of the position.
- Several years of work experience in administration with a preference for experience in University environments
- A team player with a flexible attitude, who is creative and can act on their own initiative
- The ability to manage the financial aspects of projects and their personnel
- Strong planning and organizational skills and an efficient working style
- Experience and the ability to manage computer-based administrative processes (e.g. MS Office, SAP)
- An excellent knowledge of English and German both in writing and speaking
