Distribution / Export Specialist

RESPONSIBILITIES:

The Distribution / Export specialist is responsible for managing deliveries to customers with high efficiency in term of time and cost, and all product transfer associated with company distribution and inventory. This position is expected to act as a liaison for company-customer or company-vendor relationships.

• Support Operations department in all aspects of day-to-day activities to ensure that the day-to-day supply chain business results are achieved;
• Understand and execute all Supply Chain activities such as stock take, physical inventory count, inventory accuracy in allocation and consumption, material demand, sales order entry, and purchase order entry if needed;
• Ensure all material requisition orders, regular sales orders, and transfer warehouse orders are fulfilled on a regular basis;
• Accurately process sales orders and pro-forma invoices / invoices, taking responsibility for end-to-end process, communicating progress to customer appropriately and in a timely manner;
• Create, document and optimize the export and transport processes for all countries;
• Update backlog and backorder situation on a weekly basis and communicate it internally;
• Follow internal rules as MOQ defined per shipment and communicate internally in case of deviation;
• Apply incoterm rules for shipment and communicate internally in case of deviation;
• Follow cost of transportation and customs, define and update KPI related;
• Retrieve and classify exportation proof;
• Manage Shipper / Receiver;
• Assist, support, and provide backup coverage for all Supply Chain team members;
• Assess and manage inventory levels to ensure continuity of supply;
• Liaise regularly with Operations and Sales to provide inventory level, delivery dates and shipping information;
• Maintain and updates in the system and make sure accuracy level is optimum;
• Follow and enforce the company's policies and procedures related to Supply Chain processes;
• Prepare regular and ad-hoc reports;
• Manage office supplies stock and place orders;
• Manage and maintain master data of his own perimeter in the ERP.

Administrative duties:
-Answer, screen and forward incoming phone calls,

-Perform other clerical duties such as filing, photocopying, etc.

QUALIFICATIONS:

• Post-secondary education degree in business, with a focus on supply chain

management, inventory control, manufacturing, or materials management or a

Bachelor degree or equivalent combination of education and experience;

• Minimum 3 years of supply chain and operations experience required;

• Ideally 1-2 years as an administrative / office assistant position in a commercial environment;

• Hands-on experience with logistics, inventory management, and procurement;

• Understanding of integrated supply chain and logistics concepts and theories;

• Purchasing experience is an asset.

SKILLS REQUIRED:

• Experience of working in a dynamic, fast-paced environment within an international environment;

• Excellent verbal and written communication skills;

• Ability to work under pressure and to deadlines;

• A proactive self-starter, able to work independently and use their initiative;

• A team player who works well across different groups of experts and is able to coordinate and communicate requirements across the teams;

• Multitasking and prioritizing capabilities;

• Strong problem solver and able to create solutions to challenges in an expedient manner;

• Competent in MS Office, messaging, web-conferencing systems;

• Exceptional attention to detail;

• Excellnt written and oral skills of English, good command of French.
