For our client, an international leader in its own field, we are currently looking for a motivated an hands on personality to join the team in Zug. In your function you will be working in an international environment, surrounded by highly motivated and dedicated professionals.

Description

  • Responsible for the Office Management in the Zug office
  • General secretarial duties including multiple diary, email and calendar management to ensure smooth day to day running of the supported executives
  • Arranging video and telephone conferences
  • Extensive travel arrangements
  • Organising, co-ordinating and planning meetings/conferences
  • Preparation of presentation decks if required
  • Interaction with Vice Presidents/ Directors
  • Supporting the arrangements of annual conferences
  • Maintaining filing systems
  • Handling of all incoming mail - action and distribution as appropriate
  • General correspondence
  • Coverage within the Executive PA team as/when required
  • Ad hoc project management

Profile

  • At least 2-3 years PA experience in a multinational environment, preferably with secretarial qualifications and experience of supporting more than one manager
  • Very good organisational and prioritising skills
  • Strong commercial awareness with a curiosity to understand the business
  • Flexible attitude and approach to work in terms of content of role and working hours
  • Ability to manage confidential information and data
  • Excellent communication skills, both verbally and written, with the ability to communicate across all levels within the business as well as with external clients and customers, across different countries
  • Ability to integrate a number of simultaneous complex tasks with ease
  • Ability to work in a fast moving environment with a proven ability to work under pressure and to tight deadlines
  • Strong problem solver with the ability to find solutions to issues quickly and effectively with capability to make rational judgement calls
  • Team worker who shares best practices and processes with a positive approach to work
  • High level of initiative with the ability to make things happen
  • An outgoing enthusiastic self-starter, with commitment and a professional manner
  • Results focused with attention to detail
  • Fluency in English
  • Excellent PC skills including Word, PowerPoint, Excel and Email
