Brief: We are looking for a highly organized Executive Assistant to join a fast-paced company during a crucial growth period. Your role will be instrumental in ensuring the professional and efficient running of company operations.  We are looking for a five-star organizer who can proactively manage diaries, handle correspondence, arrange and take responsibility for the preparation of meetings and events. You will be providing general administrative support mainly but not limited to the COO - answering and directing enquiries over phone, email and in person. You will be arranging meetings and writing up notes with actions for next steps. You are full of ideas, are not shy about expressing them and get excited about executing them. You show initiative and have a positive, «get-things-done» attitude, and can maintain this under pressure. Further responsibilities include managing a busy office, ordering supplies, identifying incoming deliveries and organizing the workplace, the day-to-day processing of invoices as well as ad-hoc administrative tasks, including equipment procurement, filing, coordinating external suppliers? and taking care of personal errands.

Requirements: First and foremost, we are looking for a team player who is not afraid of rolling up the sleeves to get a job done when the occasion calls. While long-term experience as an EA isn't essential, a strong work ethic is: You are super flexible, charismatic and uncomplicated. You are very organized with proven ability to prioritize effectively and meet deadlines. Likewise, you are confident and comfortable multi-tasking and working across multiple disciplines. Change doesn't faze you; you take the rough with the smooth. What else is requested?

  • ?You have a brilliant command of English in both spoken and written communication; ideally mother tongue; same applies to German, whereas English must be business fluent; the role will require you to communicate with key stakeholders and senior external partners
  • You enjoy taking ownership and always strive to contribute to the betterment of the executive and team
  • You are confident using spreadsheets and formula
  • You have a passion for learning, and you are an agile and creative thinker
  • Computer literacy including G-Suite, Microsoft Office, etc.
  • You are very thorough and attentive to detail
  • You have demonstrated problem-solving skills with the ability to identify opportunities for improvement
