Executive Assistant Legal EMEA

In this position you will support the Vice President EMEA Counsel and his direct reports with general administrative work and some paralegal type of work.

Your Main Responsibilities:

  • Prepare and coordinate business travel and meetings of Department members
  • Ensure proper logistic of the Department (office supplies and offices management)
  • Control and monitoring of Department invoices/payments and prepare monthly accruals
  • Follow up of Department Budget with VP Counsel  
  • Correspondence and telephone contact with management in Headquarter and international operations
  • Management and coordination of agendas and appointment follow ups
  • Prepare and follow Expense reports for Department members
  • Prepare and coordinate vacation and absence documents for Department members
  • Support all Department members with various tasks such as proof reading of texts and translations, maintaining lists and preparing presentations and documents
  • Support drafting of various legal instruments and couriers based on existing templates under lawyer’s direction
  • Support Special projects on demand of VP Counsel

Your Qualifications and Experience:

  • Completed commercial apprenticeship, passed paralegal training would be a plus
  • Several years of experience in either an US international company or a law firm with international customers
  • Proficient in the programs of MS Office (Word, Excel, Power Point, Outlook), SAP and Ariba would be a plus
  • Strong organizational skills and experience managing time to meet deadlines
  • High degree of professionalism, diplomacy, discretion, judgment, loyalty and cultural sensitivity
  • Professional appearance and outstanding interpersonal skills
  • Strong written and verbal command of English and German, French would be an asset
