Executive Assistant (a)*
This role is a mixture between an Executive Assistant and a Chief of Staff. You play a key role in supporting the Chief Innovation & AI Officer and ensuring that your boss stays as productive as possible. You do correspondence, schedule meetings, book travels, do expenses and help her prepare meetings or keynote speeches by researching topics, preparing text drafts or polishing slides. You love keeping the inbox clean and the to-do-list checked at the end of every day, and enjoy that your strong attention to detail lets nothing slip through the cracks.
Your tasks
- Schedule meetings within 24h after meeting requests came in, ensure time slots are not double booked and time for travels between meetings can be achieved
- Prepare meetings and follow up on action items
- Do meeting minutes and prepare agenda
- Do expenses and ensure all invoices get paid within the requested time
- Book travels and plan trips
- Do research on focus topics and brief the executive
- Organize events, speakers, venues, catering when needed
- Keep track of all deliverables in the team and ensure they get delivered
- Prepare keynotes or public appearances, do research and polish slides
Your profile
- 10+ years of experience as an executive assistant to a C-Level executive
- Exceptional communication skills verbally and written in English, preferably also in German, Eastern European languages are a plus
- You enjoy serving and supporting your boss and her team
- Very strong attention to detail and quick understanding of the situation
- Problem solving capabilities, intrinsic motivation and great work morale
- Capable to work under pressure, high velocity to finish tasks successfully and with high service standards and initiative
- Great eye for design in order to create professional looking slides and documents
- Self starter, capable to deliver tasks to highest satisfaction without significant guidance
- Availability to troubleshoot urgent requests in the evenings or weekends, if necessary

- You will have a video call with Franziska Wildi, Recruiting Specialist (duration approx.30 minutes)
- You then will have a call with Petra Ehmann, your potential boss and our Chief Innovation & AI Officer
- You will have a 60 minutes assessment center
- And the final step is an on-site interview
