The Administrative Assistant will provide comprehensive administrative support to the administrative manager and other team members. The ideal candidate will possess strong organizational skills, excellent communication abilities in French, English, and German, and a proactive approach to problem-solving. This role is perfect for someone with 3 to 5 years of relevant experience who thrives in a fast-paced environment and enjoys working collaboratively in a small team setting.

YOUR MAIN MISSIONS WILL BE THE FOLLOWING:

SALES ADMINISTRATION

  • Assist in processing sales orders, maintaining customer records and ensuring accurate documentation of sales transactions.

PROCUREMENT/SUPPLIER MANAGEMENT

  • Place purchase orders
  • Liaise with suppliers
  • Track deliveries to ensure timely receipt of goods and services.

TRAVEL ORGANIZATION

  • Coordinate travel arrangements for team members, including booking flights, accommodations, and transportation.

EXPENSE REVIEW

  • Review and reconcile expense reports, ensuring compliance with company policies and procedures.

DATABASE MAINTENANCE

  • Maintain and update company databases with accurate and current information, ensuring data integrity.

ADMINISTRATIVE COMMON TASKS

  • Provide general administrative support, including filing, scanning, photocopying, and other ad hoc duties as required.
  • Professionally handle incoming phone calls, take messages, and redirect calls as appropriate.
  • Receive, sort, and distribute incoming mail and packages to the relevant departments or individuals.

YOUR PROFILE:

You have a bachelor's degree or equivalent work experience, and 3 to 5 years of experience in an administrative support role.

You are fluent in French, English, and German (written and spoken).

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), you also have strong organizational and multitasking abilities with keen attention to detail.

You have excellent communication and interpersonal skills. You have strong ability to interact effectively with internal and external stakeholders, and to work independently as well as part of a team.

You have a prior experience working in a small team environment.
