Administrative Assistant
Key Responsibilities
- Administrative Support: Provide comprehensive administrative support to the General Manager, Regional Director, Senior Vice President, or Vice President with minimal guidance. Manage and optimize workflows within areas of responsibility.
- Secretarial Duties: Handle general secretarial duties, including correspondence, calendar management, email and mail processing, presentations, meeting minutes, and document filing with full discretion and dedication.
- Travel Arrangements: Organize travel plans and make necessary bookings for senior management.
- Event Coordination: Plan and organize internal and external meetings, conferences, guest visits, and business events.
- Document Management: Sort and accurately file documents such as correspondence and invoices. Maintain up-to-date archives and ensure contracts are uploaded to relevant systems.
- Budget and Resource Management: Monitor budgets, resources, and costs. Coordinate cost reports and assist with financial tracking.
- Presentation Preparation: Transform notes into professional presentations.
- Office Assistance: Provide support with office programs, translating, and proofreading documents.
- Team Collaboration: Serve as a back-up for other assistants within the organization, ensuring effective teamwork.
Qualifications
- Experience: extensive experience in a comparable position.
- Education: College degree or higher.
- Language Skills: Fluent in English; fluency in other languages is an asset.
- Skills: Excellent communication and interpersonal skills. Ability to act as a project manager and team player. Strong organizational skills with high attention to detail.
