Our client, a dynamic global bio-pharmaceutical company headquartered in Switzerland, covering multiple therapeutic areas, is looking for an Administrative Assistant for a contract until the 31st of December 2019 based in the Basel area.

The ideal candidate should have at least 2 years of Administrative Assistant experience and understanding of contracts (including basic legal understanding of terms and conditions).

Main Responsibilities:

  • Responsible for providing support to the Global Strategic Sourcing (GSS) group in the management of sourcing activities for Clinical sourcing, by ensuring signature process execution and filing of final contracts;
  • Assist or deputize for the Administrative Assistant Clinical Development Operations for management and staff, efficiently completing tasks delegated to her/him;
  • Understand internal and external environment and practices for document processing, procurement, expenses, human resources, and travel management;
  • Ensure that the functional matters are handled according to policy and make suggestions for change and improvement;
  • Organize and support internal or external meetings and events including setting up the meeting facilities, welcoming visitors, and organizing catering and other logistics;
  • Organize travel arrangements using the electronic system in collaboration with different travel agencies;
  • Process expense reports, invoices using the procurement tool, including Purchase Order (PO) requests and accruals;
  • Act as Super User for the contracts management and archive system (conTRACKts);
  • Coordinate execution of agreements via identification of appropriate signatories per Chart of Authority, adherence to internal approval process, distribution, tracking, and follow-up (internal and external);
  • Assist the team with administrative tasks, not limited to organization of meetings, management of travel arrangements, and visitor logistics.

Qualifications and Experience:

  • At least 1 year of clinical development sourcing support or clinical contract management support experience within a Contract Research Organization (CRO), pharmaceutical company, or equivalent;
  • At least 2 years of Administrative Assistant experience;
  • Good computer skills on actual programs (i.e., Microsoft [MS] Office Suite, MS Visio and MS Project, or equivalent);
  • Excellent spoken and written English skills; additional skills in German and/or French advantageous;
  • Understanding of contracts (including basic legal understanding of terms and conditions);
  • Experience with effectively interacting with internal and external customers;
  • Flexible, open-minded, and service-oriented attitude;
  • Relevant working/residency permit or Swiss/EU-Citizenship required.
