WE RECRUIT
In this capacity, you will be the single point of contact of the digital services team for classic administration tasks, onboarding process and financial follow-up.
You will also provide administrative assistance to the Directors of the department and to the leadership team.

KEY RESPONSIBILITIES

You will hold the following responsibilities such as:
Act as a central contact point for the department by:

  • Being key contact for all administrative processes, perform administrative duties, which may involve exposure to highly confidential information,
  • Being accountable for meeting planning and organization - verify availabilities, room booking and overall logistics,
  • Completing expense reports, onboarding newcomers, ongoing support of internals and externals (local, near-and off-shore) and following up on leaves, continuously improving of onboarding collaterals,organizing team events.

Manage teams leave requests by:

  • Recording sick leaves according to company rules and regulations,
  • Checking holyday balance,
  • Administrating on-call duty and overtime.

Keep track of time sheets in "Excel" by:

  • Creating and maintaining new team members and project and tasks in Excel,
  • Checking completeness of team member and consultants time sheet.

Administrate contracts and financials follow up by:

  • Focusing on vendor/contract management and financial follow-up and building a solid relation with the accounting and controlling team, purchase Order Management: from creation, invoices/time sheets verification, good receipt completion, alert management and final closing.
  • Reporting up to date, accruals reporting up to date, vendor setting up when necessary, following up on contracts signatures, following up on critical deadlines, filing and archiving contract, providing on demand reports.

Assist the Digital Director by:

  • Optimizing his daily schedule, filtering meeting requests and critical emails, helping preparing collaterals - powerpoint, excel - for key meetings, anticipating needs and requests, working directly on special project related to organization improvements, organizing department meetings, event and key get together with the main stakeholders.

You will also manage business trips by coordinating the travel arrangements for project teams and individuals.


YOUR PROFILE


You hold a commercial or administrative apprenticeship, with proven experience in administration, travel expense and invoice handling within a service department, ideally in an IT environment.
You have presentation creation, communication and interpersonal, computer and financial figures skills. You are fluent in English and French. Mature and determined, you have an accurate and organized working style
with stress resistance and team spirit.
