For an international organization, we are seeking a skilled Coordination Assistant
Responsibilities
- Based on scheduling and within set timeframes, assign in-house translation and quality control documents to over 40 staff members according to specified criteria, including language combination and document type, with appropriate follow-up as needed. Distribute approximately 12,000 documents monthly for translation to a network of 70+ external suppliers, applying criteria based on language combination, document type and supplier specifics, with follow-up as required. Escalate complex issues to a supervisor.- Track all relevant information for both internal and external translation and quality control assignments, including translation volumes, quality control volumes, quality control results and translation costs by language combination, document type and supplier, in designated Excel tracking tables.
- Manage shared mailboxes and respond to queries promptly. Coordinate with department units and external suppliers to exchange information and resolve issues.
- Review volumes and invoices and process receipting for batches of translations upon return to the organization after translation; forward to the responsible official if discrepancies arise.
- Perform additional related duties as needed.
Profile
- Completion of secondary education.
- Up to 3 years of relevant work experience.
- Experience with content management systems.
- Excellent written and spoken proficiency in one language and good proficiency in a second, with English as a required language. Acceptable options for the second language include : Arabic, Chinese, French, German, Japanese, Korean, Portuguese, Russian or Spanish.
- Knowledge of a third language from the list above is considered an asset.
- Proficient in MS Office, particularly Excel (macro programming in Excel is advantageous).
- Strong IT skills for managing and searching data.
- Capability to handle and protect confidential and sensitive information with integrity.
- Strong adherence to rules, regulations and procedural guidelines.
- Ability to meet deadlines with a well-organized and detail-oriented approach.
- Effective oral and written communication skills.
- Capacity to work independently while displaying teamwork and shared responsibility.
- High adaptability to new environments, tasks and demands.
- Excellent interpersonal skills, with the ability to build effective partnerships and maintain productive working relationships in a multicultural setting, demonstrating sensitivity and respect for diversity.
