Administrative Assistant - for 11 months


The position is limited to 11 months.


Tasks & Responsibilities:
o Office administration such as day-to-day activities: organization of business trips and processing of travel expense claims, organization and coordination of external and internal meetings (incl. minute taking)
o Creates purchase requests and manages invoices for OSBU Global functions, including management of issues with suppliers and reviewing for adherence to compliance guidelines.
o Coordination and preparation of required monthly/quarterly reports as well as TKI newsletters
o Works with GSM Team and Controlling to establish budget forecasts and accruals (this includes monitoring assignment of POs, vendor correspondence regarding accruals/invoices, and monitoring invoices and approval).
o Support OSU commercial and MACS teams in selected projects by managing Agency/Vendor Contracts & HCP Payments Processing, ensuring compliance requirements and timelines are met and maintaining version control of all commercial materials within AWB/Veeva Vault and any other relevant internal digital platforms (Coordination and preparation of presentations)


Who you are:
o Completed administrative and/or business/commercial education.
o Experience in administrative functions, project management and activity reporting using business systems such as SAP and Excel.
o Strong organizational, decision-making and process management skills.
o Strong knowledge of Bayer systems and policies around invoicing and purchase requests, like P2P and YOURDOCs.
o Thorough knowledge of company compliance policies.
o Proficiency in Microsoft Word and PowerPoint.
o Ability to function effectively and successfully in a complex global and multifunctional environment; sensitivity for cross-cultural differences.
o Collaborative, team-oriented, flexible.
o Effective written and verbal communication skills.
