We are seeking a skilled and experienced Legal Assistant to join a legal department. The ideal candidate will possess exceptional organizational abilities, impeccable attention to detail, and the capability to manage multiple tasks efficiently. This role requires proficiency in IT systems management, strong project assistant skills, and fluency in English (French proficiency is advantageous).

Missions


Team Support:

  • Provide comprehensive administrative support to the legal team, including managing calendars, scheduling meetings, and arranging travel.
  • Act as the primary point of contact for internal and external stakeholders, demonstrating professionalism and confidentiality in all interactions.
  • Assist in preparing documents, presentations, and reports as needed.

Contract Management:

  • Oversee the contract management process, including drafting, reviewing, and organizing contracts.
  • Maintain an organized database of contracts and ensure compliance with contractual obligations and deadlines.
  • Coordinate contract execution and facilitate communication between legal and other departments.

Filing and Organization:

  • Manage electronic and physical filing systems to ensure efficient document storage and retrieval.
  • Maintain confidentiality and accuracy in handling sensitive legal documents and information.
  • Implement and maintain best practices for file organization and document management.

Board Organization and Training:

  • Assist in the preparation of board meetings, including agenda creation, document distribution, and meeting logistics.
  • Coordinate training sessions for legal team members and provide administrative support for training programs.

IT Systems Management:

  • Serve as the main point of contact for IT-related issues within the legal department.
  • Troubleshoot technical problems, liaise with IT support teams, and ensure smooth operation of IT systems and software.
  • Stay updated on the latest technology trends and tools relevant to the legal field.

Project Assistant Skills:

  • Support legal projects by coordinating tasks, tracking progress, and ensuring deadlines are met.
  • Assist in conducting research, gathering data, and preparing project-related documentation.
  • Collaborate with cross-functional teams to facilitate project implementation and execution.

Profil du candidat

  • Proven experience as an Executive Assistant or similar role, preferably in a legal environment.
  • Proficiency in IT systems management, with the ability to troubleshoot technical issues and support software applications.
  • Strong project assistant skills, including the ability to coordinate tasks, prioritize workload, and meet deadlines.
  • Excellent organizational and time management skills, with a keen eye for detail.
  • Exceptional communication skills, both written and verbal, with fluency in English (French proficiency is a plus).
  • Ability to work independently with minimal supervision and adapt to changing priorities in a fast-paced environment.
  • Discretion and confidentiality when handling sensitive information.
  • Bachelor's degree or equivalent experience in a relevant field.
