Assistant to Group Management | Germany or Switzerland
Primarily remote, with occasional travelSupporting three members of the Executive Committee at an international company, you will be a key member of a high-functioning team. You will work remotely from either Germany (Berlin or Munich) or Switzerland (Zurich or Basel) and have the flexibility to travel occasionally. Proficiency in German and English is required. This role calls for the ability to interact with stakeholders and handle multiple demands/priorities issuing simultaneously from the General Counsel, the CTO, and the GCO. Don’t worry—the workload is manageable, and your superiors will make sure that it is fun to work with them. Moreover, you will partner with other EAs in a collaborative environment, including providing backup coverage as appropriate. Our client expects you to perform your duties with professionalism and minimal supervision, the ability to prioritize and work independently yet be a team player.What you will be doing
- Manage the inbox and respond in a timely way to internal and external queries and communications, handling confidential information with discretion.
- Manage business calendars and proactively make changes without consultation to resolve issues and conflicts.
- Schedule and manage meetings, including creating agendas, taking minutes, and following up on action items.
- Coordinate and plan international business trips by arranging appropriate travel, itineraries, and necessary contacts.
- Coordinate the participation at international events, town halls, and roadshows.
- Provide administration for all assigned projects, implementing innovative alternatives to ensure the achievement of desired outcomes.
- Create, edit, and format presentations, spreadsheets, and documents.
- Complete expense claims, budgets, and requisitions.
- Coordinate communications requirements.
- Create and maintain an excellent team environment by living and breathing the company’s values; form strong relationships within the company and with fellow assistants to deliver the best outcomes.
Your experience
- Commercial diploma and/or B.A. in Business Administration coupled with experience supporting executives in a fast-paced international organization.
- Experience planning meetings and travel while proactively finding solutions and responding to requests.
- Strong familiarity with the responsibilities associated with a private equity–owned company.
- Tech-proficient in applications necessary to efficiently manage business communications and presentations, including MS Office Suite, Zoom, and Teams.
- Business fluency in German and English with a flair for written and verbal communication.
- You are a self-starter with the ability to work independently, and make sound decisions with minimal direction.
- You are highly organized and able to prioritize tasks effectively with minimal supervision.
- You can think on your feet and react quickly to solve problems.
- You are a super connector, internally across the business, and externally with stakeholders.
- You have excellent communication skills, with the ability to liaise effectively with staff at all levels of the organization.
- You can discretely manage highly sensitive and confidential information.
- You display a high level of accuracy and attention to detail in everything you do.
- You have the proven ability to manage a variety of activities, tasks, and cultures.
- You are diligent and conscientious and can work proactively.
- You are fun to work with, and you display strong interpersonal skills, including the ability to develop effective working relationships and work as part of a high-functioning team.
