The Student Services Assistant – maternity cover (from June to December) will join the Student Services and provide assistance to the admissions and recruitment team, reporting directly to the Head of Admissions and Recruitment, and to the international programmes team, reporting directly to the Head of International Programmes.



Specifically, the Student Services Assistant is expected to take charge of the following tasks:
 


  • Provide information and admission counselling to prospective students about the Institute, our programmes, student life, admission requirements, the application process and related financial considerations.
  • Promote the Graduate Institute: attract and convert the most highly qualified prospects, as well as retain (yield) those admitted. Underline our strengths according to institutional key messages, using a variety of communication channels:

Conduct face-to-face meetings with prospects, their parents and other target audiences;
Lead campus tours;
Organise and run information sessions, in person and online (webinars);
Represent the Institute at outreach events. Occasional evening and weekend work, as well as occasional travel, may be required (e.g. for education fairs);
Provide admission counselling via e-mail and by telephone;
Web site: manage and create contents, in line with institutional guidelines; edit, update and translate copy;
Use institutional social media to promote the Institute and engage prospects and admitted students.


  • Reporting: generate data and statistical reports;
  • Provide supervisors and colleagues with up-to-date information and competitive intelligence related to prospective students’ needs and expectations;
  • Provide assistance with the organisation of formal and social events;
  • Inform, guide and accompany students throughout the application, registration and enrolment processes;
  • Support admitted students throughout their various administrative procedures (visa applications, enrolment etc.).


The candidate’s profile includes the following elements


  • Bachelor degree or equivalent;
  • Bilingual English-French: fluent proficiency level, written and spoken;
  • Computer literate (Microsoft Office Suite, particularly Excel); Adobe Acrobat, Prezi and Drupal would be advantageous;
  • Good grasp of the work environment and culture of an academic organisation;
  • Superior communication skills, both promotional and relational. Strong public speaking abilities;
  • Excellent organisation skills: ability to plan and deliver tasks, manage time and priorities with little supervision;
  • A strong collaboration and teamwork skillset;
  • Cross-cultural sensitivity; ability to work and communicate well with people of diverse backgrounds and profiles;
  • Proven track record of high quality customer service, targeting both external and internal audiences;
  • Strong aptitude to learn and use software applications. Professional experience using a relational database, CRM, social media, Prezi and web editing tools (CMS) would be an advantage.
