MAIN TASKS & RESPONSIBILITIES
- Coordinating with state authorities, notaries, and other third parties on various matters (in both Italian and English).
- Managing Powers of Attorney (drafting, signing, and registration).
- Handling the signing of various legal documents, including managing electronic document exchange, collecting signatures, and organizing the delivery of original documents.
- Maintaining the legal archive, including managing original documents, electronic databases, and internal registers.
- Organizing the notarization and legalization of documents with local and international notaries, embassies, and other relevant institutions.
- Filling out and proofreading due diligence forms.
- Depending on experience and qualifications: drafting and proofreading simple documents such as meeting minutes, letters, and contracts under the supervision of the legal team.
- Occasionally translating documents.
- Managing incoming and outgoing external correspondence.
- Providing general support to the Legal and Compliance Departments, including tasks such as scanning, copying, distributing documents, and organizing meetings or calls.
QUALIFICATIONS & SKILLS
- Higher Education such as an FH/University degree; a degree in law is a plus.
- A minimum of 2-3 years of experience working as a Legal & Compliance Secretary or in a similar role.
- Strong organizational skills, ability to work independently, and discretion with confidential information.
- Proficiency in both English and Italian; additional languages are a plus.
- Proficiency in Microsoft Office applications.
- A valid driving license is required.
