Description
You will indirectly assist the CEO and work in collaboration with another senior executive assistant. Your main responsibilities will include:
- Managing and screening phone calls
- Overseeing a complex schedule and setting up meetings with both internal and external contacts
- Organising incoming mail and identifying urgent matters
- Creating high-quality documents in both French and English
- Updating and maintaining contact lists and mailing databases
- Efficient document retrieval and filing
- Greeting distinguished visitors
- Arranging logistics for meetings, including reserving rooms, setting up video conferences, coordinating catering, and sending out invitations and notifications
- Planning travel for the Chairman and key business stakeholders
- Handling office management duties, such as maintaining supply inventories, overseeing meeting room availability, and coordinating with Facilities and IT for any maintenance needs
- Processing expense reports, managing invoices, and working with the accounting department for payment tracking
Profile
- Bilingual in French and English
- Proactive, dynamic, flexible, and easygoing
- 10 years of experience as an executive assistant of C level in a corporate environment.
